Frequently Asked Questions
Everything you need to know about working with Foxes.ai.
General
What exactly is a Digital Worker?
A Digital Worker is an automated system that handles a specific job end-to-end — like reporting, onboarding, or approvals. Unlike a simple Zapier zap, it includes reliability engineering, exception handling, monitoring, and ongoing maintenance. Think of it as hiring a role, not buying a tool.
Are you just setting up Zapier?
Sometimes Zapier is part of the stack — but the value is the reliability engineering, exception handling, monitoring, and ownership. We build for real-world nuance, not happy-path demos. Our Digital Workers handle the messy edge cases that break simple automations.
What tools do you work with?
We work with whatever tools you already use. Common ones include Google Workspace, HubSpot, Salesforce, Slack, Airtable, Notion, QuickBooks, Stripe, Shopify, and hundreds more via APIs. If there's an API or export capability, we can integrate it.
Do we need to replace our existing tools?
No. We integrate with your existing stack. Digital Workers connect your tools and automate the workflows between them. The goal is to eliminate manual work, not add new tools.
Pricing & Process
How does pricing work?
We price by complexity tier: Admin ($499/mo), Operator ($1,499/mo), and Finance ($4,999/mo). Most workflows fall into Operator. Your quote will include the specific tier and any one-time implementation fee based on your workflow.
Is there an implementation fee?
Implementation is typically $0 to $2,000 one-time, depending on complexity. Most standard workflows have no implementation fee — it's included in the first 3 months. Complex integrations or custom work may have a one-time fee.
How long does implementation take?
Most Digital Workers are live in 14 days. Complex finance workflows or those requiring multiple system integrations may take 3-4 weeks. We'll tell you the exact timeline in your blueprint.
What if we want to cancel?
Month-to-month billing. No long-term contracts. If you cancel, we disable the automation and hand you documentation and any artifacts per the agreement. No lock-in, no penalties.
Reliability & Support
What happens when something breaks?
We monitor 24/7 and get alerted immediately when something fails. We fix it — usually before you even notice. Our Digital Workers include retry logic, error handling, and alerting. You don't get the 2 AM fire drill; we do.
What if an API changes or auth expires?
That's included in the monthly fee. We monitor for API changes and auth issues, and we handle them. Vendor updates, schema changes, auth refreshes — all part of the service.
What kind of support is included?
Admin tier gets email support. Operator tier gets priority support and quarterly optimization calls. Finance tier gets a dedicated Slack channel and <4hr response time. All tiers include monitoring and break/fix.
Do you provide documentation?
Yes. Every Digital Worker comes with a documentation portal that includes the workflow diagram, logic explanation, and ownership details. You own the process documentation even if you cancel.
Security & Access
How do you handle security?
Principle of least privilege. We request only the access needed for the specific workflow. We use scoped API keys, secrets management, and audit logs where possible. Happy to discuss specifics for your compliance requirements.
What access do you need?
It depends on the workflow. We'll specify exact access requirements in your blueprint. Typically this means API keys or OAuth connections to the relevant tools. We never ask for more access than needed.
Can you sign a DPA or comply with SOC2?
Yes. For Finance tier clients, we can accommodate DPAs, security questionnaires, and compliance requirements. Let us know your requirements during the quote process.
Where does our data go?
Your data flows through the automation but isn't stored beyond what's needed for logging and error recovery. We can configure data residency requirements for Finance tier clients.
The Guarantee
What's the guarantee?
If your first Digital Worker doesn't save at least 20 hours in the first 30 days, we'll refund your first month and pay you $500 for wasting your time.
What are the conditions?
The guarantee applies when: (1) we approve the workflow as automatable during the blueprint phase, (2) you provide the needed access, and (3) your team uses the workflow as implemented. If we don't think we can hit the target, we'll tell you upfront.
How do you measure hours saved?
We establish a baseline during kickoff — how many hours per week the task currently takes. After 30 days, we compare. Most workflows save far more than 20 hours, so this rarely comes up.
